About Us

The Ngāti Manuhiri Settlement Trust is a Post Settlement Governance Entity (PSGE) who are the mandated and approved entity to represent Ngāti Manuhiri and its environs. The Ngāti Manuhiri Settlement Trust provides environmental services through the Manuhiri Kaitiaki Charitable Trust and Manuhiri Houkura Trust.


Kōrero mō te tūranga - About the role

We invite applications for an Administrator whom will report directly to the Office Manager, to provide administrative support of the Ngāti Manuhiri Settlement Trust, Manuhiri Kaitiaki Charitable Trust, and Manuhiri Houkura Trust.


Desired experienced applicants will have proven experience in a similar role.

Skills necessary for this role include;

  • Screening calls and taking detailed, accurate messages where necessary.

  • Regular stationery inventories to ensure all stock is up to date and ordering more when necessary

  • Administer and maintain NMST’s membership database and coordinate all new registrations and incoming correspondence

  • Managing and distributing all incoming and outgoing post and couriers

  • Photocopying, faxing, binding, and filing all company documents

  • Booking meeting rooms and organising refreshments

  • Helping company employees with email correspondence

  • Updating contact lists on the company database

  • Assisting the office manager with regular health and safety checks

  • Ad-hoc secretarial duties, including running personal errands and booking lunches for management

  • Coordinate with IT department on all office equipment

  • Point person for maintenance, mailing, shipping, supplies, equipment, bills, and errands

  • Systems and practices are efficient and effective, achieving desired results.

  • Organize office operations and procedures

  • As with all NMST staff members, the role will also support other NMST projects and events

  • Internally communicate key messaging on behalf of management

  • Assist with social media/newsletter content creation and administration and distribution.


Mōu - About you


What you will bring:

  • Experience in office administration

  • High level of computer skills including a high level of competency in Microsoft Office Suite, especially MS Excel, Word, PowerPoint, Outlook, Teams, Lists, Sway and Forms

  • Strong written communication and reporting skills.

  • Skilled at professional formatting and presentation.

  • Good intuition and practical problem-solving capability.

  • High level of accuracy and attention to detail.

  • Highly organised with strong time management capability.

  • Must be discrete and committed to maintaining confidentiality.

  • Good oral and written communication skills, desirably with some capability in Te Reo Maori.
